As a company registered in Romania, we are subject to the General Data Protection Regulation (GDPR) (EU) 2016/679 and Romanian data protection law. We take our obligations under these laws seriously.

2. What Data We Collect

When you submit the AdIQ scan request form, we collect the following information:

First and last name — to address you personally in our report and communications
Business email address — to deliver your report and follow up with you
Company name (optional) — to contextualise your report
Website URL — the primary input for your AdIQ scan

We do not collect payment information, national identification numbers, sensitive personal data, or any data from children under 16.

Automatically collected data

Our hosting provider (Hostinger) may automatically collect standard server logs including IP addresses, browser type, and pages visited. This data is used solely for security and performance purposes, is stored on EU-based servers, and is not linked to your form submission.

3. How We Use Your Data

We use the information you submit for the following purposes:

Service delivery — to conduct your AdIQ scan and deliver your report
Follow-up communication — to discuss your report results and any services you may be interested in
CRM management — to manage our client relationship using Pipedrive
Service improvement — to understand which types of sites request scans and improve our methodology

We do not use your data for automated decision-making or profiling that produces legal or similarly significant effects.

4. Legal Basis for Processing

Under GDPR, we rely on the following legal bases:

Legitimate interests (Article 6(1)(f)) — to deliver the free scan service you requested and to follow up regarding that service
Consent (Article 6(1)(a)) — where we send marketing communications beyond the direct follow-up to your scan request

5. Where Your Data Is Stored

Your data is stored in Pipedrive CRM, which processes and stores data on servers located in the European Union. Pipedrive is certified under the EU-U.S. Data Privacy Framework and maintains appropriate safeguards for any international data transfers.

Our website is hosted on Hostinger private cloud infrastructure on EU-based servers. Hostinger operates in accordance with GDPR and maintains appropriate technical and organisational security measures. Server logs are retained for a maximum of 30 days.

6. How Long We Keep Your Data

Active contacts — for as long as there is an active or potential business relationship
Inactive contacts — deleted or anonymised after 24 months of no engagement
Scan reports — retained for 36 months for quality assurance purposes
Server logs — deleted after 30 days

You may request deletion at any time regardless of these retention periods (see Your Rights below).

7. Who We Share Your Data With

We do not sell, rent, or trade your personal data. We share data only with the following service providers, strictly to deliver our service:

Pipedrive — CRM and lead management (EU servers)
Hostinger — private cloud website hosting (EU servers)

All processors are bound by data processing agreements in line with GDPR Article 28.

8. Your Rights Under GDPR

As a data subject, you have the following rights:

Right of access — request a copy of the data we hold about you
Right to rectification — ask us to correct inaccurate data
Right to erasure — ask us to delete your data ("right to be forgotten")
Right to restrict processing — ask us to limit how we use your data
Right to data portability — receive your data in a structured, machine-readable format
Right to object — object to processing based on legitimate interests
Right to withdraw consent — withdraw any consent you have given at any time

To exercise any of these rights, email us at [email protected]. We will respond within 30 days. We may ask you to verify your identity before processing your request.

If you believe we have not handled your data appropriately, you have the right to lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP) at www.dataprotection.ro.

9. Cookies

AdIQ does not currently use tracking cookies, analytics cookies, or advertising cookies. The only cookies present may be set by Pipedrive's form embed for essential form functionality. These are strictly necessary cookies and do not require consent.

If we introduce analytics or marketing cookies in the future, we will update this policy and implement a cookie consent mechanism.

Our site links to iqmiddleeast.com. We are not responsible for the privacy practices of third-party websites. We encourage you to review their privacy policies before providing any personal data.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Material changes will be communicated by email to known contacts where appropriate.
